Artificial Intelligence (AI) Use Policy

Purpose

The Training Refinery uses artificial intelligence (AI), including language models, to support the administrative and operational aspects of our work. This policy explains how AI tools are used responsibly, ethically, and with appropriate human oversight.

Scope

This policy applies to the use of AI tools in connection with The Training Refinery’s internal operations, communications, and content development processes.

How We Use AI

We use language models and related AI tools to assist with administrative and support tasks, including:

  • Editing and refining wording for clarity and accessibility
  • Research support and idea generation
  • Translation and language adaptation
  • Assistance with video editing and production workflows

AI tools are used to increase efficiency and support our team. They do not operate independently or make decisions on behalf of The Training Refinery.

Human Oversight and Expertise

AI does not replace human expertise at The Training Refinery.

  • All AI-assisted content is reviewed, edited, and approved by qualified professionals.
  • Subject-matter experts who meet our internal standards are responsible for final content accuracy, quality, and appropriateness.
  • Final responsibility for all published content rests with The Training Refinery, not with any AI system.

Educational Integrity

AI tools are not used to:

  • Replace instructors, facilitators, or subject-matter experts
  • Make instructional, clinical, legal, or professional determinations
  • Automatically evaluate learners or award continuing education credit

All educational content and continuing education activities are developed and delivered in accordance with applicable accreditation and professional standards.

Data Privacy and Security

We do not input confidential, sensitive, or personally identifiable learner information into AI tools. AI systems are not used to store or process learner records or private data.

Accuracy, Ethics, and Bias

AI-generated outputs may contain errors or limitations. We take steps to:

  • Verify factual accuracy
  • Identify and mitigate potential bias
  • Correct errors when identified

AI outputs are treated as supportive tools, not authoritative sources.

Transparency

Some administrative or preparatory content may be created with the assistance of AI tools and reviewed by human experts before publication or use.

Policy Updates

This policy may be updated periodically to reflect changes in technology, best practices, and regulatory or accreditation requirements.
